ICANN: new procedure for changing domain registrant data

The new policy will cover changing the registrant through a series of email approval requests. However, we want to reassure you right away about the simplicity of the operations required and we suggest you carefully follow our advice in order to make changing the domain owner quick and immediate.

Which domain extensions are affected by the new policy? Let's start immediately by identifying the domains affected by this new policy which will only concern international domains, also called gTLDs, such as: .com / . org/.net/.info/.biz/.tel/.mobi/.tv and all new extensions. However, .eu and .it domains are excluded.

What will be the effects of the new policy? It will no longer be possible to change the domain registrant with a simple change request

Any change to the name, surname, company or email address of the registrant (owner) will trigger the validation process

The process aims to receive explicit confirmation of the change from the current and new owner before the change is completed

After the change is completed, both the previous and new account holders receive an email notification that the operation has been completed

After the change, the domain remains blocked for transfer operations to another provider for the following 60 days.

How does the new change registrant process work? The policy specifically provides for the sending of a communication to the new registrant who will be asked to:

approve or decline the change of registrant and confirm the correctness of the data provided

Once the change is approved by the new registrant, the international registry will also send an email to the current registrant asking to:

approve or reject the registrant change and decide whether to waive the 60-day lock after the change (recommended)

After approval from both parties, the international registry will complete the registrant change operation and send a confirmation email to both.

In the event that one of the two registrants refuses the change or the request expires due to the expiration of the 7 day period, the entire process is canceled and the registrant remains unchanged.

What happens if the registrant changes at the same time as the domain is transferred? In the event that a change of registrant is requested at the same time as the transfer of the domain, we are not able to "prevalidate" the change of registrant since the domain is not yet under our management. The current registrant (the person in charge before the transfer of the domain) will have to:

approve or decline the change of registrant via email

confirm that the information is correct (new registrant).

What happens if the registrant's email is no longer valid? If the email sent to the current or new registrant is not delivered, it is possible to resend:

to the same email account, in case the interruption of the inboxes was only temporary or

via SMS to the number registered as registrant

In case the telephone number is incorrect, it is possible to update the mobile number. This update is not considered a change to the registrant and for this reason the record will be updated without falling under the new policy. Once the number has been corrected, it will be possible to resend the confirmation to the desired contact.

Tips! Below we want to summarize our advice so that the change is completed quickly:

always check that the registrant (valid for all domains) is updated

waive the 60 day lock after the change. This way you can transfer the domain to another provider without waiting for the restriction period.

We realize that this new rule imposed by ICANN may initially seem complicated and a bit cumbersome, but we are also sure that it will make users more aware of the importance of assigning the domain holder to the right owner. Glossary: Registrant or Registrant: domain holder

ICANN: the body entrusted with the technical management of the Domain Names System worldwide

Inter-Registrar Transfer Policy or IRTP: policy linked to the transfer of the domain between different providers and modification of the domain owner

Authcode: unique code linked to the domain essential for the transfer between different providers. This code combined with the domain is provided by the current registrar.

Registrar: internet service provider that has a contract with the registry to manage domains of all extensions, for example our company Colt Engine srl

Designated Agent: intermediary, in this case the Tucows registry, which acts in the place (subject to authorization) of the current and new registrant.
